Help and setup guide
Everything you need to get started with Uketsuke, from signing up to setting up kiosks and notifications.
Getting started
You manage Uketsuke from the admin screen on a computer; visitors check in on a kiosk (usually a tablet). Setup takes three steps.
1. Sign up
- Open app.uketsuke.app and enter your work email address, then the verification code we send you. You can also sign in with a Microsoft or Google account.
- The first person to sign in from your company's domain (for example @example.com) becomes the admin and enters the company name.
- Invite colleagues from Members. Turn on auto-join for your domain in Settings and anyone who signs in with that domain joins as a member.
Personal addresses such as Gmail or Yahoo! Mail can't be used. Please sign up with your work email address.
2. Add a location
- Open Organization in the admin screen.
- Press “Add under (your company)”, enter a name (for example Head office) and choose the type Location.
- In Location settings you can set the visitor terms, purpose buttons and meeting rooms for each location (optional; you can start without them).
3. Pair a kiosk
- On the tablet, open
https://app.uketsuke.app/kioskin the browser. It shows an 8-character pairing code. - On your computer, open Kiosks → Add kiosk → Pairing code.
- Enter the code, choose the location and a name (for example Lobby iPad) and press Pair kiosk. The reception screen appears within a few seconds.
The code changes every 10 minutes. If typing on the tablet is awkward, create a setup link instead (single use, valid for 15 minutes) and open it on the kiosk. Anyone with the link can set up a kiosk, so send it privately.
Tablet setup
Lock the kiosk's browser to the one screen so visitors can't switch to other apps or pages, and keep the display from turning off. Whichever method you use, allow the microphone and camera and pair the kiosk before you lock it.
iPad: Guided Access
- Go to Settings → Accessibility → Guided Access and turn it on.
- Set a passcode under Passcode Settings, and set Display Auto-Lock to Never on the same screen.
- Open the kiosk (
app.uketsuke.app/kiosk) in Safari, triple-click the top button (the Home button on iPads that have one) and tap Start. - To end it, triple-click again, enter the passcode and tap End.
Android: screen pinning or dedicated device
- Go to Settings → Security (on some models Security & privacy → More security settings) → App pinning (screen pinning) and turn it on. Also turn on “Ask for PIN before unpinning”.
- Open the kiosk (
app.uketsuke.app/kiosk) in Chrome. - Open the recent apps view, tap the Chrome icon and choose Pin.
To manage many tablets, use an Android Enterprise mobile device management (MDM) product and set them up as dedicated devices (kiosk mode) that only allow Chrome. See your MDM's documentation.
Windows: Assigned Access
- Create a Windows account for the kiosk. Signed in as an administrator, open Settings → Accounts → Other users → Set up a kiosk.
- Choose Microsoft Edge, select “As a digital sign or interactive display” and enter
https://app.uketsuke.app/kioskas the URL. - Turn off “Restart browser after idle time” (or set the longest time) so the browser doesn't restart during quiet periods.
- Restart Windows: only the kiosk screen is shown.
In Assigned Access, Microsoft Edge runs InPrivate, so the kiosk is unpaired whenever Edge restarts and must be paired again. To keep the pairing, sign in to the kiosk account with Chrome or Edge in normal mode, go full screen (F11), and add it to Windows automatic sign-in and Startup.
Keep the screen on
- iPad: Settings → Display & Brightness → Auto-Lock → Never.
- Android: Settings → Display → Screen timeout (or Sleep) → the longest value. To keep it on while charging, turn on “Stay awake” in Developer options.
- Windows: Settings → System → Power → Screen and sleep: set screen off and sleep to Never when plugged in.
- Keep the kiosk plugged in, and schedule OS updates and restarts for the night.
Allow the microphone and camera
The kiosk uses the camera to scan QR codes, take visitor photos and for face recognition, and the microphone for AI reception mode (voice check-in). When the browser asks, choose Allow. The microphone is only used when AI reception mode is on.
Speech recognition and the kiosk's voice run on the kiosk itself: audio is never sent or stored anywhere.
Chrome (Android, Windows, Mac)
- Tap the icon at the left of the address bar (site information) and open Permissions or Site settings.
- Set Camera and Microphone to Allow, then reload the page.
- On Android, the system must allow it too: Settings → Apps → Chrome → Permissions → allow Camera and Microphone.
Microsoft Edge (Windows)
- Click the lock icon at the left of the address bar and open Permissions for this site.
- Set Camera and Microphone to Allow, then reload the page.
- Also check Windows Settings → Privacy & security → Camera and Microphone: app access must be on.
Safari (iPad, Mac)
- iPad: Settings → Apps → Safari (on iPadOS 17 and earlier, Settings → Safari) → set Camera and Microphone to Allow.
- Or open the page menu in Safari's address bar, choose Website Settings and allow Camera and Microphone.
- Mac: Safari → Settings → Websites → Camera and Microphone → set app.uketsuke.app to Allow.
What the kiosk shows when they're blocked
- Microphone: the AI reception screen says the microphone isn't allowed and shows what an admin can do. Visitors can still type or use the on-screen buttons, so reception never stops. After changing the setting, press “Check the microphone again”.
- Camera: the kiosk says camera use isn't allowed. Visitors can enter their 6-digit code instead of scanning the QR code. After changing the setting, press Retry.
- The kiosk also tells you when the camera or microphone is in use by another app (such as a video call) or isn't connected.
Add the kiosk to the home screen
With the kiosk on the home screen, you can open it straight away after a restart.
- iPad (Safari): on the kiosk screen, tap Share and choose Add to Home Screen.
- Android (Chrome): open the menu (⋮) and choose Add to Home screen.
On iPad, the home screen icon may keep its data separately from Safari. If it shows a pairing code when you open it from the home screen, pair it again there.
Monthly AI reception limit
On the Free plan you can use AI reception for up to 100 check-ins a month. One conversation with one visitor counts as one, however many turns it takes. The count resets on the 1st of each month (Japan time).
- When the limit is reached, the kiosk switches to a simple reception screen: visitors type their name and choose who they're visiting, and the host is notified as usual. Reception never stops.
- The admin screen shows that this month's AI reception limit has been reached. To raise it, contact sales.
- The Business plan has no limit.
Notifications
When a visitor checks in, the host is notified by email, Slack or Microsoft Teams.
No setup needed: notices go to the host's email address (the one they sign in with).
Slack
- In the admin screen, open Integrations and press Add to Slack.
- Choose your workspace in Slack and allow the app (your workspace admin may need to approve it).
- In Organization, select the company (or a location) and choose Slack under Notification channels. Hosts are matched to their Slack accounts by email address.
Microsoft Teams
- A Microsoft 365 admin opens Integrations → Microsoft Teams, presses Connect tenant and grants consent.
- Press Download app package and, in the Teams admin center, upload and install the app for everyone who receives visitors.
- In Organization, choose Teams under Notification channels.
On the Free plan, Slack and Teams notices are one-way. Replies such as “On my way” shown on the kiosk are part of the Business plan.
When the host doesn't respond
Set a representative contact (a member or an email address) in Organization settings, and Uketsuke also notifies them when the host doesn't respond. A shared front-desk or general affairs address works well.
